UFI, The Global Association of the Exhibition Industry
UFI is the global association of the exhibition industry, and its Global Congress is its flagship event. The 2025 edition ran in Hong Kong SAR from 19 to 22 November with 600+ attendees, 64 speakers and 45 sponsoring companies.
Thousands of photos, barely used
What UFI was dealing with
- UFI captured a lot of photos across its events, and most of them went unused.
- Photos went out late, in one public gallery.
- That cost the team time, limited what the photos could do, and raised privacy questions.
What they wanted
- Get real engagement and visibility out of the photos.
- Spend less time on the operational side.
- Deliver photos live, during the event, so the experience feels personal.
- Multiply organic reach.

AI sorts the photos and sends each one to the person it belongs to
MementoPhoto.AI collects the photos, categorizes them and delivers them to the right person while the event is running. Speakers, sponsors and attendees each get their own stream.
Key features
- AI auto-tagging for faces and logos
- Photos matched and delivered in real time
- A private, relevant stream for each stakeholder
- No manual sorting, tagging or sending

Use case 1: Speakers
Send official event photos while attention is still at its peak.
How it worked
- Speakers were enrolled before the event.
- Consent took one click.
- Photos reached the speaker and their social media team as soon as they stepped off stage.
- Neither the speaker nor their team had anything to set up.
Impact: Speakers had usable content while the session still mattered, so they could post it right away.

Use case 2: Sponsors
Turn event photography into branded content sponsors can use the same day.
How it worked
- Sponsors identified and mapped before the event.
- AI recognition on logo, people and context.
- Matching and delivery in real time.
- No manual sorting or tagging.
Impact: Sponsors moved from browsing a generic gallery to receiving the photos that involve them, which makes their engagement and amplification measurable.

Use case 3: Attendees
Give every attendee a premium photo experience, and let the community carry the brand across social media.
How it worked
- Access was built around the moments worth capturing: official photo zones, branded step-and-repeat activations, social gatherings and smaller curated moments.
- Entry through QR codes, with no app to download.
- A private gallery that kept updating throughout the event, with email notifications when new photos came in.
Impact: Attendees got their own photos as the event unfolded instead of a generic gallery afterwards, and they shared them because there was nothing standing in the way.
Results and impact
Event photography became a live engagement channel for UFI instead of a post-event deliverable.
